What are projects and tasks?

Task is specific work a user is doing for which time is logged. Projects are overheads for tasks.
As shown in the image "Marketing" is the name of the project and "Creating marketing strategy" is one of the tasks in Marketing.

Type your task name & then click enter. The cursor now moves to the timesheet.
Now you can enter work hours manually or start automated timer as shown in the image.

You can view your total logged hours by day or week as shown in the image below.
Click on the calendar icon to select a specific week, by default you always see the current week.

Type the initial letters of the task and a list of tasks with those letters will show up. Select the desired task to log time.

Click on pencil icon as shown in the image below to edit task names or assign the task to another project. Click save and you will see the edited task in the timesheet.

Go to users section, click on invite users and then enter the email address of the new user. Invited users will receive an email for signup.

Trial

Credit Card details are not needed for trial version. It's required only when you subscribe.

Does trial have limited features?

The trial version offers full functionality just like the paid version.No limit on features, projects or users.

No, we won’t charge for deactivated users from the next billing cycle after the deactivation.

It might be some technical glitch so try again later, if it still doesn't work then send us an email with screenshot of the error message and we will look into it.

There are no pricing plans. We charge flat $4 per user monthly.

Click on your picture, select billing option and enter the new credit card details. You can also add additional billing information if you wish to. Click save to update your new credit card data.

You can try Timepot demo here and use all features. There is no limit.

My privacy & data is sacred. Is it safe with Timepot?

All sensitive/credit card information you supply is encrypted via Secure Socket Layer (SSL) technology. Your personal information is stored in secured networks. All information is kept confidential.

Does removing users delete their data?

No, the data remains in the system. Note: You can always reactivate any user.

I use Chrome. Do you have a Timepot extension?

Can I integrate Timepot with project management tools?

You can integrate Timepot with Jira, Trello and Youtrack using Google Chrome extension.

What's that API doing in my profile? Do I need it?

API key allows you to integrate other tools with Timepot.

We are working on the mobile app versions. We will update you when we have it ready.

Do I need to download Timepot or I can use it in the web browser?

Yes, you can use it in the web browser. Timepot is also available on Windows, Mac and Linux. We have plans for Android & iOS too.

Logging Time

Who can see my timesheet?

Admins can see timesheet of all users. As a normal user you have access to timesheet, holidays and your reports.

Does my manager need to approve my hours?

Admins can monitor your timesheets and make corrections if needed.

Does Timepot send reminders to log hours (complete timesheet)?

No. Timepot does not have such feature.

How can I see user specific reports?

Only admins can see user specific reports. Go to Reports section. Select the desired user.

Here you can see user hours tasks & project wise in form of a graph or as a list.

Do I need to assign tasks to projects?

No. First, choose the project and then write task name. The task will be added to the project automatically. See this part on how to add tasks.

Does removing users delete their data?

No, the data is saved in the system. Note: You can always reactivate any user.

Why do I see tasks in the new week before I even logged my time?

To save your time. Timepot shows tasks for the last 5 days to simplify logging & repetitive tasks.

Yes. Type the start-end time for your tasks as shown below and Timepot converts it into duration.

How do I make a report?

Go to report section. Here are options to customize & filter your reports by tasks, projects or users. As shown below you can see active filters as you choose them. The results can be viewed by tasks, projects or users. The tasks option show all tasks in a list format.

Once you finalize the reporting data with filter, you can export the report into CSV or PDF file.

How Timepot calculates income, expense and profits for projects?

Users can assign income by setting the hourly, monthly or fixed price for each project in multiple currencies. Similarly, expense can be set as employee salaries hourly price or monthly salary. Now you can see income and expense and which project is most profitable.

The finance section of Timepot helps you understand the financials in terms of income, expenses and profit. You can analyse existing projects, resources to estimate cost for new projects.

Can I see user wise profit or loss?

Yes. By choosing the users in finance report you can see each user's contribution to your company's profit. You can choose one or multiple users and also include or exclude holidays.

How can I add a day off?

There are two ways to add holidays. Go to Holidays section. Click Add Holidays as shown below and as shown in right image select dates and click add to save your days off.

You can also select a date range and click "Add selected" and you will see the number of holidays. In case of changes you can always delete holidays.

Yes, Timepot will automatically notify the admin about reported days off.

Is everyone in my company allowed to see my holidays?

Yes. In holidays section you can see holidays user wise. To see a user's holidays click on their picture, if you scroll up you will see the holidays highlighted in green.

In users section you can see a list of all users. You can search users by first, last names.

Click on envelope icon for the user whom you want to deactivate. If you want to reactivate then choose the user from the inactive list & click on refresh icon. Here you can also see the summary of invited, active and inactive users.

Except for the financial section Managers have access to User lists, Projects, and Reports.

In User List click on "Create New Team" button, type your team name. New team is created.
